1. Booking Your Spot
Your spot on a Swell Adventures trip is confirmed once:
- The booking form is completed
- The deposit is paid
- You receive a written confirmation from our team
We keep our groups intentionally small. Once a trip sells out, we cannot guarantee availability.
2. Payment Structure
Each destination has its own payment schedule, clearly stated on the trip page.
Standard structure (unless otherwise specified):
- 30–50% non-refundable deposit to secure your spot
- Remaining balance due 30–60 days before the trip start date
If the final balance is not paid by the due date, we reserve the right to release your spot without refund of deposit.
3. Deposits
Deposits are non-refundable.
Why?
Because once you book:
- Accommodation is reserved
- Local staff and coaches are scheduled
- Permits and logistics are secured
- Currency exchange and vendor commitments are made
However:
- If you cancel early, your deposit may be transferable to another Swell Adventures trip within 12 months (one-time transfer, subject to availability).
- Transfers are not guaranteed and depend on the destination’s supplier agreements.
4. Cancellation Policy
Because we operate in multiple countries, cancellation terms vary slightly by destination.
Unless otherwise stated on the specific trip page:
60+ days before departure
You may cancel and receive a refund of payments made minus your non-refundable deposit.
30–59 days before departure
50% of total trip cost is non-refundable.
Less than 30 days before departure
100% of the trip cost is non-refundable.
No-shows are non-refundable.
5. Destination-Specific Policies
Some destinations (such as Indonesia, Peru, or Carnival-period Brazil trips) have stricter policies due to:
- High-season accommodation blocks
- Remote-location logistics
- Non-refundable local vendor contracts
- Special event pricing (e.g., Carnival)
In those cases, the specific cancellation policy will be clearly stated on the trip page and overrides the general policy above.
6. Trip Minimums
All trips require a minimum number of participants.
If a trip does not reach minimum capacity:
- You will receive a full refund
- Or the option to transfer to another trip
We are not responsible for airfare or external expenses.
7. Travel Insurance (Strongly Recommended)
We strongly recommend comprehensive travel insurance that includes:
- Trip cancellation
- Medical coverage
- Surf/sport coverage
- Emergency evacuation
We are not responsible for personal injury, medical costs, lost luggage, delayed flights, or unforeseen travel disruptions.
8. Weather & Ocean Conditions
Surf conditions are never guaranteed.
We design trips around optimal seasonal windows, but:
- Swell
- Wind
- Weather
- Tide
- Sandbanks
Are outside of our control.
No refunds are issued due to ocean conditions.
9. Name Changes / Transfers
If you cannot attend, you may transfer your spot to another person:
- At least 30 days before departure
- Subject to approval
- Any administrative fees are the responsibility of the original participant
📜 TERMS & CONDITIONS
1. Assumption of Risk
Surfing and ocean-based activities involve inherent risk.
By booking a Swell Adventures trip, you acknowledge:
- You are physically capable of participating
- You understand the risks of ocean sports
- You assume responsibility for your participation
You agree to follow all safety instructions from instructors and local guides.
2. Health & Fitness
Participants are responsible for:
- Being medically fit for travel and surfing
- Disclosing relevant medical conditions
- Bringing necessary medications
We are not medical providers.
3. Liability
Swell Adventures acts as a facilitator between participants and local service providers (accommodation, transport, surf guides, etc.).
We are not liable for:
- Acts of third-party providers
- Weather events
- Political disruptions
- Airline issues
- Lost baggage
- Personal injury resulting from participant negligence
Our liability is limited to the amount paid directly to Swell Adventures.
4. Itinerary Changes
We reserve the right to:
- Modify schedules
- Adjust accommodation
- Change activities
- Alter surf spots
If necessary due to safety, weather, local conditions, or operational reasons.
We will always prioritize safety and experience quality.
5. Force Majeure
We are not responsible for cancellations or changes due to events beyond our control, including:
- Natural disasters
- Government restrictions
- Pandemics
- Political instability
- Strikes
- Airline cancellations
In such cases, refunds depend on what can be recovered from local partners.
6. Code of Conduct
We are building a strong, respectful surf community.
We reserve the right to remove a participant without refund if they:
- Engage in dangerous behavior
- Disrespect local culture
- Disrupt the group dynamic
- Use illegal substances
Safety and group integrity come first.
7. Media & Content
During trips, we may capture photo and video content.
By participating, you grant Swell Adventures permission to use this content for:
- Social media
- Website
- Marketing materials
If you prefer not to appear, you must inform us in writing before the trip.
8. Passport & Visa Responsibility
Participants are responsible for:
- Valid passports
- Visa requirements
- Entry regulations
- Vaccination requirements
We are not responsible for denied entry.
9. Agreement
By booking a Swell Adventures trip, you confirm that you:
- Have read these policies
- Understand the cancellation terms
- Accept the risks
- Agree to the terms and conditions
